Privacy policy

This policy covers this website and the Wiltech app for iPhone. It explains what personal information Wiltech Solutions (Pty) Ltd collects, why, where it is kept and what you can ask of us.

Who we are

Wiltech Solutions (Pty) Ltd (registration number 2024/744719/07) of Howick, KwaZulu-Natal, South Africa, is the responsible party under the Protection of Personal Information Act, 2013 (POPIA). Our information officer is the director, Tristan Marc Wilson, reachable at tristan@alasia.co.za or 079 495 2537.

The Wiltech app and the signed-in cockpit

The app and the signed-in part of this website are a private tool for running the company. There is no public sign-up: only the company's owner can sign in, and no one else can create an account. What they hold:

  • Sign-in details. The owner signs in with a Google account. We receive that account's name, email address and a unique identifier from Google, through Firebase Authentication, to confirm the owner is the one signing in.
  • Company records. Invoices, quotes, client details (business name, address, registration number), bank statements, expense slips and company documents that the owner enters or uploads. A client's details may include a contact person's name.
  • Gmail. If the owner connects Gmail, the cockpit reads only the bank's transaction notification emails, to record payments. It also creates draft emails that send a client their invoice, which the owner reviews and sends. It never sends, changes or deletes email itself.
  • Camera and photos. The app uses the camera only when the owner scans an expense slip or document. The image is uploaded to the company's records; nothing is taken from the photo library unless the owner chooses a file.

This information is used only to keep the company's books, issue its documents and meet its tax and company-law duties. It is not sold, shared for advertising, or used to track anyone across other apps or websites. The app contains no advertising and no analytics or tracking code.

Quotations and invoices sent by link

We may send you a quotation or an invoice as a private link. Anyone with the link can view that one document, so treat it like the emailed document itself. When you accept or decline a quotation there, we record the name you type, any reason you give, the time, your device's network (IP) address and your browser's identifying string. We keep this as evidence of the agreement, with our accounting records, and use it for nothing else. Opening a link without deciding records nothing.

When you accept, we also ask for the email address your invoice should go to. We use it to send you that invoice and later ones, and keep it with your business's client record.

This website

The public pages set no tracking or analytics cookies. If you send a message through the contact form, we keep your name, email address and message so we can reply. We use them for nothing else. The signed-in cockpit sets one cookie that keeps the owner signed in.

Where information is kept

Records are held in Google Cloud (Firebase) data centres in Europe and the United States, encrypted in transit and at rest, and reachable only through the company's own server, which checks every request. When information leaves South Africa this way, it goes to a provider bound by data-protection terms that give it protection comparable to POPIA, as section 72 of the Act requires.

Our service providers are Google (hosting, storage and sign-in) and, where the owner connects it, Gmail. Apple delivers the app through the App Store.

How long we keep it

Accounting records and supporting documents are kept for at least five years, as the Tax Administration Act and the Companies Act require. Contact-form messages are kept only as long as they are needed to deal with the enquiry, and deleted sooner on request. Signing out of the app ends its session on the server.

Your rights

You may ask whether we hold personal information about you, ask for a copy, and ask us to correct or delete it. You may also object to how we process it. Write to tristan@alasia.co.za and we will respond within 30 days. Records we must keep by law are kept for that period even after a deletion request.

If you are not satisfied with our response, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

Children

The app and this website are business tools and are not directed at children.
